It is critical that students pay attention to notices sent from the WVU Hub because they could be about your financial aid or a balance due.
How will you hear from us?
- Emails regarding these topics are sent from the WVU Hub to students’ WVU MIX email.
- Students can add their MIX email on their mobile devices.
- Students should check their MIX email regularly via their WVU Portal to ensure they don't miss a notification.

Free Application for Federal Student Aid (FAFSA) Simplification
- Due to the delayed Free Application for Federal Student Aid (FAFSA) release and changes to the financial aid process by the Department of Education, our processes are delayed for the 2024-2025 academic year.
- Full financial aid offers for 2024-2025 have started; however, processes were delayed this year. We are working diligently to ensure offers are going out as quickly as possible if you have not received one yet.
- Students should regularly check their MIX email for notifications from us.
How can I access my information?
- The WVU Portal
- “Financial Aid Information” is where you can review financial aid offers, review financial aid eligibility criteria including renewal, and financial aid holds.
- STAR is the system where you can view your student records, add or drop courses, access your transcripts, and more.
- WVU MyAccount
- Access your WVU MyAccount billing system through the yellow “Pay Your Bill Here!” button.
- View billing details
- Access On Demand Statements
- Make payments
- Sign up for payment plans
- Authorize parents or guests to view charges or make online payments

How can parents or guests access my information?
Family Educational Rights and Privacy Act of 1974 (FERPA)
Family Educational Rights and Privacy Act of 1974 (FERPA) protects a student’s privacy of education records, such as financial aid, billing details, schedule details, grades, etc.
We cannot release protected information to parents or guests unless the student grants them access to that information.
Directory information is public and may be disclosed at WVU’s discretion without explicit permission, but students can choose to withhold their directory information.

Proxy Access: The Parent/Guest Portal
- Allows parents and guests to view financial aid information and academic records via their own login.
- Allows parents and guests to discuss protected information with WVU Hub and other offices upon confirming passphrase (exception: GPA).
- Student can revoke permission at any time.
- Students can find detailed instructions on how to give access to their information at the Parent and Guest Portal website.
- Each proxy must have their own account.
- A passphrase is required and must be confirmed before we can discuss information with a valid end date.
- Authorizations selected for what information the proxy has access to view and discuss.
- Any proxy added prior to May 20 requires the student to reselect authorizations due to a system upgrade.
- Allows parents and guests to view billing details and make online payments.
- Needed for online payments even if the parent or guest already has proxy access via the Parent and Guest Portal.

- WVU has partnered with Barnes & Noble to provide undergraduate students with rented course materials at a lower, flat-rate price.
- Undergraduate students are automatically enrolled and billed each semester.
- Students must opt out if they do not want to participate in the program.
- The fall opt-out window is open from July 22 to August 30.
- Emails about this program will be sent to student MIX accounts from Barnes & Noble College.
- Visit the Student Accounts Website for more information on the First Day Complete program.
- Students use billable and non-billable estimates from their Cost of Attendance found in the WVU Portal.
- Students use financial aid information to input anticipated scholarships, grants and loans.
- The Planner estimates remaining costs and provides payment options for the year and by semester.
- All amounts are estimated — the WVU Board of Governors does not approve new tuition and fee amounts until later this summer.

- Student Insurance will be included in your billable costs, but you will only be billed if you do not complete the waiver.
- Books, course materials, supplies and equipment will be included your billable costs, but you will only be billed if you choose to utilize First Day Complete and do not opt out.
- Students who owe a balance received a billing notification via their MIX email on or around July 3.
- If you owe a balance, payment is due on August 1 — a 2.85% late payment fee will follow if the deadline is not met.
- Charges may change for various reasons. It is important to monitor your WVU MyAccount for the most up-to-date billing information.
- Billing notifications are sent each month for remaining outstanding balances — payment is typically due the first of the following month.

Private/External Scholarships
- Checks must be received by the payment deadline to credit as payment.
- Scholarship award letters will not be credited toward charges.

College Savings Plan (529, Prepaid College Plan)
- Contact your plan manager for instructions on how to send funds.
- ACH is the fastest method, if available.

Third-Party Sponsorship
- Official authorization document must be received by payment deadline to credit as payment.

Veterans Benefits
- Start your certification process with WVU Bunker.
- Certifications will go through third-party billing process.

Enrolling in a Payment Plan
- The earlier you enroll, the more time you can spread your payments over.

A $35 enrollment fee plus the first payment are due when you sign up.
- You can sign up between July 1 and July 15 to make 5 payments.
- Beginning July 16, the 4-payment option opens.

Making Direct Payments
- Online payments via WVU MyAccount (fastest method).
- Pay online with an e-check using the routing number and account number.
- Pay online with a debit/credit card (2.85% convenience fee).
- Mailing payments
- Checks, money order, or certified bank check should be made payable to WVU or West Virginia University.
- Include the student’s name and WVU student ID number.
- Cash payments are not accepted by mail or in person.

- Lender: private lenders and financial institutions.
- Borrower: student or parent (varies by lender).
- Application: contact lender.

Federal Parent PLUS Loan
- Lender: Federal Government.
- Borrower: parent of a dependent undergraduate student.
- Application:
- 2024-2025 FAFSA required.
- 2024-2025 parent PLUS loan application.
- Interest: fixed.

- Some students are due a refund because their financial aid and/or payments total more than their WVU charges.
- If you are due a refund:
- Authorized aid generally pays to the bill 10 days prior to the first day of a semester (for student that have completed all their aid requirements).
- If you have direct deposit set up, the refund may be available in your bank on or around August 21.
- If you do not choose a preference, a check will be mailed to your mailing address in STAR, which usually takes longer than direct deposit.
- Students and parents who are due a refund will receive an email with instructions on how to establish an account through the Nelnet Refund Portal.
- Students may begin setting up direct deposit on or around July 7.
- Parents receiving a parent PLUS refund will receive an email from Nelnet to set up direct deposit after the refund is initiated.
- Refunds appear in the “charges” column in your WVU MyAccount, but it’s not a charge — it’s the refund you are due.
- The refund is issued based on what you are owed at the time it is issued.
- Monitor your WVU MyAccount as charges are subject to change.

- Most aid types have enrollment requirements such as:
- Full-time (12 credits or more) or part-time (6-11 credits) enrollment.
- Registered for credits required for the degree program.
- Aid could be canceled or prorated.
- Be aware of requirements required for all of the aid you are offered, such as annual applications or documentation.
- Students must maintain minimum SAP standards to maintain their federal and state financial aid eligibility.
- Students must:
- Have a minimum overall GPA of 2.0 by the end of each spring.
- Complete at least 67% of all credit hours attempted by the end of each spring (withdrawals, incompletes, and failing grades all have negative impact on this percentage).
- Complete the program of study within 150% of the hours required for the program (120 credits x 1.5% = 180 attempted hours).
- For institutional scholarships and Promise Scholarship (for WV residents), Each academic year (fall, spring, and summer), students must:
- Earn at least 30 credit hours (credit hours earned before the fall 2024 semester do not count towards earned hours).
- Have a minimum overall GPA of at least 2.75 (credit hours earned before the fall 2024 semester do count towards overall GPA).
- WV Higher Education Grant
- Earn at least 24 credit hours each academic year (fall, spring, and summer).
- Have a minimum overall GPA of 2.0.
- Renewal is reviewed at the end of spring, but students can attempt to regain eligibility by taking summer credits at their own expense.
- Summer financial aid is limited to any remaining loan eligibility.

- Set up proxy access AND Authorized User access, if necessary.
- Check your “Financial Aid Information” via the WVU Portal.
- Accept or decline all financial aid you are offered.
- Complete any unsatisfied financial aid requirements.
- Apply for credit-based loans, if needed.
- Complete Loan Requirements.
- Students complete Entrance Counseling and Master Promissory Note (MPN) for Federal Subsidized and Unsubsidized Loans.
- Parent borrowers with approved PLUS loans complete MPN for Federal Parent PLUS Loans.
- Complete Student Health Insurance Waivers through August 1.
- If not completed by June 26 it will reflect in charges on July 1.
- Select dining plan (if not selected by June 28 it will default to Go Anytime).
- Monitor WVU MyAccount in July for fall charges and finalize aid and/or payment.
- Contact private scholarship issuers, education savings plan account managers, and third-party sponsors to send payments.
- Set up direct deposit if you receive an email about a fall refund.

Tips for Estimating Costs
Remember that the estimated cost of attendance is not a measure of what you will owe — it is a figure used for financial aid purposes.
For estimating balance, only include billable items from the estimated cost of attendance in your financial aid offer.
Don’t forget to include things that will not be billed through WVU, such as personal expenses and transportation.
Do not include Federal Work-Study as financial aid — it does not apply to charges directly, but is earned for hours worked as paychecks throughout the semester.

Fall charges were available on or around July 1 through WVU MyAccount for students who have registered for classes.
After accepting offered aid, what other resources are available to help cover my balance?
WVU offers an interest-free payment plan through WVU MyAccount to help you manage your balance.
There are credit-based loan options from the federal government and private lenders. Credit-based loans require an application and credit approval. However, there are differences between federal and private loans such as the borrower, the lender, interest rates, fees and terms. We have tools to help you determine what works best for you!
What if my financial aid exceeds what I owe for the semester?

The short answer is YES! Aid eligibility can be impacted by GPA, the number of earned credit hours, completion of attempted courses, submission of the FAFSA each year by March 1 priority deadline, and more.
